The best B2B outbound stack is smaller than most software vendors want you to buy. Start with a CRM, one reliable source of contact data, one system that runs the sequence, and the specialist tools required by the channels you actually use. Add AI after the list, offer, and sales process work.

For a lean team, Apollo can cover data and basic engagement, Instantly can run cold email, LinkedIn Sales Navigator can handle account research, and HubSpot can hold the record. Add Sincerely when high-value accounts justify direct mail. Add a specialist dialer only when reps make enough calls to need one. Clay becomes worthwhile when enrichment and signals have grown too complicated for one data source.

## The best B2B outbound tools by job

I checked the product documentation and pricing on August 29, 2026. A vendor's database size, accuracy rate, deliverability claim, or reported pipeline lift is not an independent benchmark.

Do not buy every default in the table. A five-person sales team with HubSpot, Apollo, and Aircall already owns three sequencing or task systems. Pick one place where a rep's day begins and one place where every activity ends.

## Build the stack in layers

The right buying order is boring. That is good. Each layer should solve a problem the previous layer cannot.

1. **System of record.** Put accounts, people, owners, opportunities, opt-outs, and activity in one CRM.
2. **Data and verification.** Find the right people, then test whether their contact details still work.
3. **Activation.** Run email, phone, LinkedIn tasks, direct mail, video, or gifts.
4. **Orchestration.** Connect signals and stop rules across those tools.
5. **Measurement.** Tie activity to held meetings, opportunities, cost, and controlled tests where possible.
6. **AI.** Use software to research, prioritize, draft, summarize, and handle routine administration under clear limits.

Teams often buy this in reverse. They start with an AI agent that promises booked meetings, then discover that the CRM has duplicate contacts, the account owner field is empty, and nobody has defined a good reason to write. The agent did not cause the mess. It made the mess run unattended.

## CRM and sales engagement software

### HubSpot for a smaller, unified stack

[HubSpot Sales Hub](https://www.hubspot.com/pricing/sales) is the practical default when the company already uses HubSpot for marketing or customer data. Sequences can combine automated email with call and manual tasks. Professional and Enterprise add workflows, calling, transcription, coaching, and AI prospecting.

Current annual list pricing starts at $7 per seat each month for Starter, $90 for Professional, and $150 for Enterprise. Professional also requires $1,500 in onboarding. AI actions consume HubSpot Credits, so a cheap seat can still feed a larger usage bill.

Choose HubSpot when clean CRM history matters more than maximum cold-email throughput. It is less attractive when a team wants to rotate many outbound mailboxes or operate a separate sending infrastructure.

### Salesforce for a customizable system of record

[Salesforce Sales Cloud](https://www.salesforce.com/sales/cloud/) starts at $25 per user each month for Starter, then rises through $100 Pro, $175 Enterprise, $350 Unlimited, and $550 Agentforce 1 Sales plans. Sales Engagement, Dialer, Agentforce, and Revenue Intelligence can add more.

Salesforce earns its cost when the company needs custom objects, strict permissions, account hierarchies, territory rules, and a broad integration market. It is easy to buy too early. A CRM that requires a full-time administrator before the sales process has stabilized becomes an expensive place to store guesses.

### Apollo for small-team consolidation

[Apollo](https://www.apollo.io/pricing) combines contact data, enrichment, sequences, workflows, a dialer, meetings, deliverability tools, AI research, and call insights. Annual plans currently run from free to $49 per seat for Basic, $79 for Professional, and $119 for Organization with a three-seat minimum.

Apollo is the strongest value when a small team wants one subscription to do several jobs adequately. The same breadth is its weakness. A specialist may have better phone data in one country, more flexible enrichment, or stronger high-volume email operations. Credits also pay for net-new contact details, some research, dialing, and infrastructure. Read the credit ledger before assuming the seat price is the total price.

### Outreach and Salesloft for governed enterprise execution

[Outreach](https://www.outreach.ai/pricing) and [Salesloft](https://www.salesloft.com/pricing) both run multichannel cadences, seller tasks, calling, AI research, coaching, and reporting. Both use custom pricing.

Outreach is a good fit when RevOps wants programmable sequences, permissions, APIs, agent controls, and one execution system across a large sales organization. Salesloft's Rhythm product is strong when the central problem is turning buyer signals into a prioritized rep work queue.

Do not settle this comparison in a demo. Run each product against the same Salesforce or HubSpot sandbox. Test ownership rules, field sync, task latency, reply handling, opt-outs, reporting, and the exact sequence volume the team expects. The prettier interface matters less than whether the CRM is still correct after two weeks.

## Contact data, list building, and verification

### Sales Navigator for current account context

[LinkedIn Sales Navigator](https://business.linkedin.com/sell/sales-navigator/compare-plans) starts at $119.99 monthly for Core and $159.99 for Advanced. Advanced Plus is custom-priced. It provides advanced lead and account search, saved lists, alerts, InMail, relationship data, and AI-assisted account research.

Sales Navigator is often the best place to confirm that a person still has the job. It is not an email verification service. Use it to find and understand the buyer, then use an authorized data provider to locate contact details.

### Apollo for affordable breadth

Apollo is a good first database for a founder or small SDR team because the search, contact records, enrichment, and sequences live together. Test it before committing. Pull 100 to 500 target contacts across the countries, industries, and seniority bands that matter. Measure valid email yield and live phone connects, not the database size printed on the homepage.

### ZoomInfo and Cognism for enterprise data programs

[ZoomInfo](https://www.zoominfo.com/copilot) combines contact data, org charts, intent, company events, workflows, and a Copilot that prioritizes accounts and prepares research. [Cognism](https://www.cognism.com/pricing) focuses on global data, mobile numbers, compliance operations, and phone verification. Both use quote-based pricing.

Do not buy either from reputation alone. Run a bake-off on the same account set. Separate results by country and role. A vendor can be excellent for US software executives and weak for German manufacturers in the same test.

### Clay when one database is not enough

[Clay](https://www.clay.com/pricing) is an enrichment and workflow builder. It can query more than 150 providers, waterfall from one source to another, monitor signals, call external APIs, research the web with Claygent, and send results to the CRM or activation tool.

Its current pricing separates workflow Actions from Data Credits. The free tier includes 500 actions and 100 data credits. Launch starts at an effective $167 monthly on annual billing, while Growth starts around $446. CRM and warehouse sync begin on Growth.

Clay is worth the money when a RevOps or growth engineer can turn the flexibility into a repeatable program. It is overkill when the workflow is "find VP Sales at these companies and verify the email." Two meters, third-party data, AI tokens, and top-ups can make a carelessly built table expensive.

### Hunter, Bouncer, and ZeroBounce for email accuracy

[Hunter](https://hunter.io/pricing/) is useful when teams want domain-based email discovery with source URLs, verification, and light sequencing. [Bouncer](https://www.usebouncer.com/pricing/) is the clean pay-as-you-go verification pick. It currently charges $8 for 1,000 checks and says purchased credits do not expire. [ZeroBounce](https://www.zerobounce.net/docs/frequently-asked-questions/billing-and-payments/how-is-pricing-determined-for-email-verification) costs more but adds detailed status codes, catch-all scoring, blocklist checks, inbox tests, and DMARC tools.

"Verified" has a short shelf life. Recheck close to send time. For an important campaign, test the same recent sample with two vendors rather than arguing over published accuracy percentages.

Other useful niche data sources include BuiltWith for technology use, Store Leads for ecommerce, Crunchbase for funding and company events, and Common Room for product, community, web, and social signals. Use them to sharpen the reason for contact. Do not expect them to replace a contact database.

## Cold-email software

### Instantly for simple high-volume sending

[Instantly](https://help.instantly.ai/en/articles/10273259-instantly-plans-overview) connects and warms unlimited email accounts, rotates mailboxes, runs campaigns, and centralizes replies. Its separate Credits, CRM, inbox-placement, domains, and mailbox products add data, verification, AI research, reply agents, calls, SMS, and deliverability tests.

The current Outreach plans are $47 monthly for 1,000 uploaded contacts and 5,000 emails, $97 for 25,000 contacts and 125,000 emails, and $358 for 100,000 contacts and 500,000 emails. The uploaded-contact allowance is fixed across campaigns, not a new monthly allocation.

Instantly is my default for a lean team that primarily needs cold email. The catch is visible once the stack grows. "Instantly" may become four subscriptions for outreach, credits, CRM, and inbox testing. Unlimited connected accounts also do not remove Google and Microsoft sending limits or the reputational cost of unwanted mail.

### Smartlead for agencies and many sending identities

[Smartlead](https://www.smartlead.ai/pricing) also supports unlimited connected mailboxes, warm-up, mailbox rotation, a unified inbox, API access, client workspaces, and white labeling. Plans currently start at $39 monthly for 2,000 stored contacts and 6,000 sends. Pro is $94 for 30,000 contacts and 90,000 sends. Higher plans reach 150,000 or 500,000 sends.

Choose Smartlead when client workspaces, sending identities, and operational controls matter more than a simple team setup. Confirm every add-on. Verification, infrastructure, private servers, and client workspaces can change the real bill.

### lemlist, Reply.io, Saleshandy, and QuickMail

[lemlist](https://www.lemlist.com/pricing) is the stronger choice when a team wants email, LinkedIn tasks, calls, SMS, WhatsApp, data, and AI research in one multichannel workflow. Its Email plan starts at $69 monthly, while Multichannel starts at $109 per user.

[Reply.io](https://reply.io/pricing/) goes further into AI SDR work. Multichannel starts at $99 monthly, while its AI SDR starts at $500. [Saleshandy](https://www.saleshandy.com/pricing) combines a large vendor-reported database with sending and AI at a low entry price. [QuickMail](https://quickmail.com/pricing) is the simpler option for unlimited users and senders without a large native data or AI layer.

Pick one sender. Running Instantly and Smartlead against the same people creates duplicate outreach, broken stop rules, and CRM history nobody trusts.

## LinkedIn tools and the HeyReach problem

### Sales Navigator plus manual tasks is the safe default

Use Sales Navigator to build lists and watch account changes. Put manual connection, message, and comment tasks in HubSpot, Outreach, Salesloft, or the CRM. It is slower than automation. It also keeps a valuable professional account within LinkedIn's stated rules.

### HeyReach is capable, but it cannot remove platform risk

[HeyReach](https://www.heyreach.io/pricing) runs connection requests, messages, profile views, follows, multi-sender campaigns, workspaces, a unified inbox, webhooks, an API, email enrichment, and handoffs to Instantly or Smartlead. Current pricing starts at $79 per LinkedIn sender monthly, with lower per-sender rates at volume. The Agency plan is $999 for 25 senders, and Unlimited is $2,999.

There is no meaningful "zero-risk" third-party LinkedIn automation. [LinkedIn's policy](https://www.linkedin.com/help/linkedin/answer/a1340567) says it does not allow third-party software or browser extensions that scrape or automate activity on its website. HeyReach can throttle actions, rotate senders, and keep logins consistent. It cannot override that rule.

If the account matters to the rep's career or the company's reputation, keep connection requests, messages, follows, and comments human-operated. Expandi, Waalaxy, Dripify, and other LinkedIn automation tools belong in the same risk category. A vendor calling its limits safe does not make the activity approved.

## Cold-calling and dialer tools

### Aircall for a general phone system

[Aircall](https://aircall.io/pricing/) covers inbound and outbound calls, SMS, recording, analytics, CRM integrations, a power dialer, voicemail drop, and AI summaries. Annual pricing starts at $30 per license monthly for Essentials and $50 for Professional, with a three-license minimum.

Choose Aircall when the business needs a phone system as well as outbound calling. Do not buy it expecting the highest-volume parallel dialing workflow.

### Nooks and Orum for call-heavy SDR teams

[Nooks](https://www.nooks.ai/ai-dialer) combines power and parallel dialing, phone enrichment, pickup prediction, live battlecards, research, a virtual sales floor, and coaching. [Orum](https://www.orum.com/platform/dialer) runs power or parallel dialing across as many as ten lines, detects humans and voicemails, and logs the result. Both use custom pricing.

These products make sense when managers run call blocks, reps have enough list volume, and the team coaches from real conversations. They are wasteful when phone data is poor or reps make a handful of deliberate calls each day.

Parallel dialing deserves special caution. More than one person can answer, forcing the system to cancel another connected call. The FTC exempts many genuine B2B calls from much of the federal Telemarketing Sales Rule, but state rules, company-specific do-not-call requests, recording laws, and FCC rules still apply. The [FCC has also ruled that AI-generated voices count as artificial or prerecorded voices](https://docs.fcc.gov/public/attachments/FCC-24-17A1.pdf) under the TCPA.

CloudTalk, JustCall, PhoneBurner, and Apollo's Advanced Dialer are sensible alternatives when a team needs a lower-cost power dialer or wants calling inside a tool it already owns.

## Direct-mail, handwritten-note, and gifting tools

### Sincerely for measured B2B outbound mail

[Sincerely](https://trysincerely.com/) takes a B2B outbound-first approach to direct mail. It connects to Salesforce or HubSpot, or accepts a CSV, then creates account-researched drafts with source links and human approval before anything prints. Delivery confirmation can trigger rep follow-up tasks. Account-level holdouts compare mailed and unmailed accounts to estimate incremental pipeline.

[Public pricing](https://trysincerely.com/pricing) starts with a $199 pilot that includes 100 pieces. Core is $250 monthly with 150 included pieces, while larger plans include more pieces and lower overage rates. Postcards and letters are live today. Handwritten notes and gifts are not.

Choose Sincerely when sales follow-up and evidence of lift matter more than buying the lowest-cost print endpoint. Choose something else when the format is not live, the list is too small for a meaningful holdout, or engineering wants to own every API object and webhook.

### Lob and PostGrid for mail infrastructure

[Lob](https://www.lob.com/pricing) is the developer-first option for postcards, letters, self-mailers, checks, address verification, webhooks, and integrations. Its free Developer plan supports limited annual volume. Paid platform access currently starts around $260 monthly.

[PostGrid](https://www.postgrid.com/pricing-print-mail/) is a strong API alternative for teams mailing in the United States, Canada, the United Kingdom, and Australia. It offers a free Starter tier, test and live keys, address verification, webhooks, and published piece prices.

### PFL for managed enterprise production

[PFL](https://www.pfl.com/platform/platform-overview) combines enterprise software with owned print, kitting, storage, and fulfillment. It fits large companies that need custom dimensional mail, managed creative and production, and deep Salesforce or marketing-automation workflows. Pricing is custom.

### Handwrytten for cards written with a pen

[Handwrytten](https://www.handwrytten.com/pricing/) uses robots that hold real pens. It supports cards, custom stationery, gift cards, an API, Salesforce, HubSpot, Zapier, and Make. Retail cards start at $3.75 plus postage. Business subscriptions lower the per-card cost.

Use it for post-meeting notes, referrals, renewals, and a small number of well-researched prospects. A generic message does not become personal because a robot wrote it in ink.

### Sendoso, Postal, and Reachdesk for gifting

Platform price is only one line. Ask about shipping, duties, VAT, storage, kitting, rejected packages, unclaimed gifts, fulfillment regions, and inventory removal when the contract ends. Gift acceptance is engagement, not proof of pipeline.

## AI outbound tools

AI is most defensible when it researches, prioritizes, drafts, summarizes, and updates records. It is least defensible when it invents a personal fact, answers a sensitive objection, or sends more messages because the credit balance permits it.

### Lavender for email coaching

[Lavender](https://lavender.ai/coach) scores messages, suggests edits, adds prospect context, drafts copy, and gives managers coaching data. Paid individual plans start at $27 monthly on annual billing. It is useful when reps still own important emails. A score is advice, not proof that the message will work.

### RegieGO for a self-serve AI prospecting workspace

[RegieGO](https://regie.ai/pricing) combines research, enrichment, drafting, email, social tasks, dialing, and scheduled agents. The free plan includes 250 one-time credits. Pro is $49 monthly with 5,000 credits. It is one of the easiest ways for a founder or AE to test an AI-assisted workflow without signing an enterprise contract.

### Unify for signal-led outbound

[Unify](https://www.unifygtm.com/pricing) combines a contact database, enrichment, job-change and hiring signals, website and product intent on higher plans, AI copy, and multichannel sequences. Base starts at $20 per seat monthly, while Pro is $60.

Use it when the team can define a signal that should change the timing or message. "Visited the pricing page twice" is useful. "Exists in the database" is not a signal.

### Artisan and 11x for autonomous AI SDR pilots

[Artisan's Ava](https://www.artisan.co/) finds and enriches prospects, writes sequences, handles replies, books meetings, and queues calls. It offers approval mode, escalation rules, account ownership, banned phrases, and suppression lists. Pricing is custom.

[11x Alice](https://www.11x.ai/products/alice/pricing) bundles prospecting, enrichment, sequences, managed Gmail mailboxes, CRM sync, scheduling, and multilingual outreach. Growth currently starts at $3,750 monthly on an annual contract.

These are not casual purchases. Run a controlled pilot against a human-reviewed baseline. Start with draft approval on every message and reply. Protect current customers, open opportunities, named accounts, and company-wide opt-outs. Require source URLs for researched facts. Export the activity and error log before trusting the booked-meeting count.

### Clay, Apollo, and AI inside the existing stack

[Fathom](https://fathom.video/pricing) is enough when the main job is transcripts, summaries, and CRM notes rather than a full revenue-intelligence program.

For video, [Loom](https://www.loom.com/pricing) is the easiest way for a rep to record an honest 30-second account walkthrough. [Sendspark](https://www.sendspark.com/pricing) creates AI-personalized variants at scale, and [Vidyard](https://www.vidyard.com/pricing/) adds revenue-team controls, CTAs, integrations, avatars, and automated video agents.

Prove video manually before cloning the rep's voice 5,000 times. A prospect's name in the first frame is not a reason to watch.

## Workflow automation tools

[Zapier](https://zapier.com/pricing) is the easiest connector for a nontechnical team. Professional starts at $19.99 monthly, and its 9,000-plus app directory handles most common sales handoffs. Watch task consumption. Each successful step can add to the bill, while MCP and AI actions may consume more.

[Make](https://www.make.com/en/pricing) offers more visual control at a lower entry price. Its Core plan starts at $9 monthly for 10,000 credits. Iterators, searches, and multi-step enrichment can multiply usage.

[n8n](https://n8n.io/pricing/) is the strongest choice for technical teams that want code, self-hosting, AI nodes, complex branching, and pricing by workflow execution rather than individual step. Cloud Starter begins at 20 euros monthly on annual billing. Self-hosting moves uptime, security, and upgrades onto your team.

The CRM must own stop rules. A reply, opt-out, open opportunity, customer flag, or job change should suppress the person across email, phone, mail, gifting, and every automated workflow. A clever n8n graph is dangerous when each branch keeps its own copy of the truth.
